Our IT team needs to archive several employee mailboxes before deactivating their Google Workspace accounts. Using Outlook with IMAP for every user seems time-consuming, especially when each mailbox contains years of emails and attachments. We also need a reliable way to preserve important records without handling every account separately.
The challenge is finding a method to
export Google Workspace email to PST while keeping the mailbox data organized. Outlook can work for individual accounts, but it requires synchronization before the PST export can begin. Google’s Data Export utility provides another option, although it generates MBOX archives that need an additional conversion step. Google Vault may also be suitable for authorized eDiscovery exports, but it has limitations for contacts and folder organization.
While researching bulk mailbox archiving, I came across the
SysInfo Google Workspace Backup Tool. Its listed features include CSV-based batch processing and Workspace Admin Domain-Wide Delegation, which can help administrators handle multiple accounts. It supports direct PST export, date filters, folder selection, duplicate removal, and separate exports for contacts and calendars.
Another requirement is preserving the information needed for future audits. Before choosing a method to export G Suite to PST, I would check whether attachments, folder structures, and relevant metadata are retained. It is also important to review migration reports and verify sample mailboxes before removing employee licenses.
For administrators who have handled large-scale offboarding, which approach has worked best? Did you use Outlook, Google Vault, or a dedicated backup utility? I would especially appreciate suggestions for processing dozens of mailboxes while keeping the resulting archives easy to review.
